Terms of Service

1. Acceptance of Terms
By accessing or using Inbox OS (“the Service”), you agree to be bound by these Terms of Service (“Terms”). If you are using the Service on behalf of an organisation, you represent that you have authority to bind that organisation to these Terms.
If you do not agree with any part of these Terms, you must not use the Service.
2. Description of Service
Inbox OS is an AI-assisted email triage and automation platform designed for Microsoft 365 shared mailboxes. The Service connects to your Microsoft 365 account via the Microsoft Graph API to read, categorise, route, and draft replies to incoming emails according to rules and knowledge base documents you configure.
Inbox OS does not send any email on your behalf without explicit approval from an authorised user of your account.
3. Account Registration and Security
You must provide accurate, current, and complete information when registering. You are responsible for maintaining the confidentiality of your credentials and for all activities that occur under your account.
You agree to notify us immediately at hello@inboxos.io if you suspect any unauthorised use of your account.
4. Microsoft 365 Integration
The Service requires you to grant Inbox OS delegated access to your Microsoft 365 mailbox using standard OAuth 2.0 scopes (including Mail.ReadWrite and Mail.Send). You may revoke this access at any time from your Microsoft account settings. Revoking access will disable all triage and automation functionality.
Inbox OS stores encrypted access tokens to process your mailbox. These tokens are encrypted at rest using AES-256-GCM and are never shared with third parties other than Microsoft.
5. AI-Generated Content
The Service uses artificial intelligence (including large language models) to categorise emails and generate draft replies. You acknowledge that:
- AI-generated content may be inaccurate, incomplete, or inappropriate.
- No AI-generated reply is sent without explicit human approval.
- You remain fully responsible for any communication sent from your mailbox using the Service.
- Emails matching dispute, legal, complaint, or similar patterns are always routed to human review and are never auto-sent.
6. Prohibited Uses
You agree not to use the Service to:
- Send unsolicited bulk emails (spam).
- Transmit content that is unlawful, harmful, defamatory, or fraudulent.
- Attempt to reverse-engineer, decompile, or extract proprietary algorithms or models used by the Service.
- Access any other user’s account or data without authorisation.
- Exceed rate limits or otherwise abuse the Service in ways that degrade performance for others.
7. Subscription and Billing
Paid features require a valid subscription. Subscriptions are billed in advance on a monthly or annual cycle. Payments are processed by Stripe, Inc. We do not store your payment card details.
You may cancel your subscription at any time. Cancellation takes effect at the end of the current billing period; you will retain access until then. Refunds are not provided for unused portions of a billing period unless required by applicable law.
8. Data and Privacy
Your use of the Service is also governed by our Privacy Policy, which is incorporated into these Terms by reference.
Email content processed by the Service is used only to perform the triage, routing, and draft generation functions you have configured. Email content is not used to train AI models or sold to third parties.
9. Service Availability
We aim to provide a reliable service but do not guarantee uninterrupted availability. The Service is provided “as is” and “as available”. We may modify, suspend, or discontinue any part of the Service with reasonable notice.
10. Limitation of Liability
To the maximum extent permitted by law, Inbox OS and its affiliates shall not be liable for any indirect, incidental, special, consequential, or exemplary damages arising from your use of (or inability to use) the Service, including but not limited to loss of data, lost profits, or business interruption.
Our total aggregate liability for any claim arising under these Terms shall not exceed the amount paid by you to Inbox OS in the three months preceding the claim.
11. Changes to Terms
We may update these Terms from time to time. If we make material changes, we will notify you by email or by a prominent notice within the Service at least 14 days before the changes take effect. Continued use of the Service after that date constitutes acceptance of the revised Terms.
